Switching from Techman: What Transfers, What Doesn’t, and How Long It Takes

But “widely used” doesn’t mean “can’t be replaced.” If you’re considering switching from Techman, the biggest fear isn’t finding something better. It’s the migration itself. Here’s exactly what happens when you move.

Most garage owners who’ve been on Techman for three to five years don’t switch because of one big problem. They switch because of twenty small ones that have accumulated. What data transfers out of Techman

Customer records. Names, contact details, addresses, and account information all export from Techman. Any garage management software worth considering can import these. The data migration is typically handled via a CSV or database export that your new provider maps to their own fields.
Vehicle records. Registration numbers, makes, models, and mileage history come across. Vehicle details that were entered manually transfer cleanly. Data pulled from DVLA integrations may need to be re-fetched by the new system using its own DVLA connection, but this happens automatically when the vehicle is next accessed.
Job and invoice history. This is the most important data for ongoing operations. Your completed jobs, invoices, and payment records should transfer so you have a full audit trail. Not every system imports the complete job card detail (individual labour lines, technician notes), but the invoice totals and line items typically come across.
Service history. Past MOT dates, service intervals, and advisory notes transfer as part of the vehicle and job records. This is critical for your MOT reminders and service reminder schedules to work from day one on the new system.
What doesn’t transfer cleanly: Techman-specific integrations (Haynes Pro configurations, Autodata links, GSF/LKQ/Euro Car Parts/NAPA supplier portal connections) need to be reconfigured in the new system. The migration timeline
The biggest misconception about switching garage management software is that it takes weeks and involves downtime. It doesn’t.

Total elapsed time: one week from export to fully operational. No day of downtime. No “sorry, our system is being changed, can you call back next week.”
The credit question
One of the most common reasons garages switch from Techman is the credit model. Techman charges credits for operations that most garage owners consider basic: DVLA lookups, SMS reminders, mailshot campaigns. These are hygiene features in a garage management system. They should be included, not metered.
On the Techman Pro plan at £415/month (Partner pricing), you get the full feature set. But DVLA lookups, SMS, and mailshots still consume credits. Common mistakes when switching
Rushing the data verification. The import looks good, but did every customer record come across correctly? Spot-check 20-30 records against the Techman originals. Check that vehicle registrations match, phone numbers are complete, and invoice totals are accurate. An hour of verification prevents weeks of “why is Mrs. Chen’s phone number wrong?”
Not telling customers. If your WhatsApp number or email address changes, let customers know. A simple message: “We’ve upgraded our workshop system. Our new number is…” prevents confusion and ensures your reminders reach the right place.
Trying to replicate Techman exactly. Your new system won’t be Techman with a different logo. The workflow will be different. Some things will be better. Some will be unfamiliar. Give your team a week to adapt to the new workflow before comparing. The service advisors and technicians who resist on day one are usually fine by day five.
Cancelling Techman too early. Keep your Techman subscription active for at least 2 weeks after the switch. You may need to reference historical data that didn’t transfer in full detail, or check a specific invoice from six months ago. Once you’re confident everything is accessible in the new system, cancel. Check your Techman contract for the notice period. The Partner plan may have different cancellation terms than the Flexi plan or 30-day rolling option.
Ignoring the opportunity to clean up. A data migration is the perfect time to clean your customer database. Duplicate records, old vehicles, inactive customers who haven’t visited in three years. Export, clean, then import the clean data. Starting fresh on the new system with a tidy database saves ongoing hassle.
What to look for in the replacement
Not every garage management system handles Techman migrations. When evaluating alternatives, ask these specific questions:
“Do you import Techman data directly?” Some providers have a dedicated Techman import tool that maps fields automatically. Others need a generic CSV import that requires more manual mapping. Direct import is faster and less error-prone.
“What’s included in the subscription?” If you’re leaving Techman partly because of credit charges, make sure the replacement doesn’t have the same model. Ask specifically: are DVLA lookups unlimited? Are SMS reminders unlimited? Are booking confirmations unlimited? Or do these consume credits?
“Is there an onboarding fee?” Techman’s Flexi plan charges £1,300 upfront. Some alternatives charge similar setup fees. Others include onboarding in the subscription with no upfront cost. Know before you commit.
“Can I run parallel for a week?” Any provider confident in their data migration will let you run both systems simultaneously during the transition. If they insist on a hard cutover, that’s a red flag.
“What happens to my data if I leave?” Check the data retention and export policy. You should be able to export your data in a standard format at any time. A system that locks your data in is a system you’ll be having this same conversation about in three years.
