Why Torqueflow
Your current software was built for a different era.
Traditional garage management software was designed when the phone was the only way customers got in touch and a paper diary was the alternative. It digitised the paperwork. That’s about it.
You still answer every call yourself. You still chase customers for quote approvals. You still get interrupted mid-job because someone wants to know if their car’s ready. The software changed the format but not the workload.
Torqueflow is different because it was built now, for how garages actually work now.
What traditional garage software gets wrong
Five things the old software still leaves on your desk.
It’s a database, not a system.
Most garage software stores your jobs and prints your invoices. It doesn’t do anything with that information. You’re still the one making every phone call, sending every text, and managing every diary entry.
Scheduling is too rigid.
A single appointment slot per job doesn’t reflect reality. Complex work spans days, involves multiple visits, and needs parts that haven’t arrived yet. Cramming that into a calendar view creates more confusion than it solves.
Customer communication is manual.
You write the quote, you ring the customer, you wait for the callback, you chase the approval. Multiply that by every job in the workshop and you’ve lost your morning.
It wasn’t built for the UK.
Bolted-on VAT, no DVLA integration, American date formats buried in the settings. You shouldn’t have to fight your own software to produce a compliant invoice.
It looks like it was built in 2005.
Because it was. Your customers judge your garage by every touchpoint – including the booking experience and the quote they receive. Dated software creates a dated impression.
What makes Torqueflow different
Nine things the legacy systems literally don’t do.
The short list of capabilities competing garage software either misses entirely or treats as an afterthought. Each is in production today.
01 — AI woven through, not bolted on
One AI brain. Every channel. The same live workshop data.
Torqueflow’s AI isn’t a chatbot stitched to the side. It’s connected to live workshop data on every channel.
The voice receptionist answers your phone using real-time job status. It knows which cars are in, what stage each job is at, and whether the bay is free. It gives callers real answers – not “someone will call you back.“
WhatsApp, SMS, and the customer portal all get the same AI auto-response treatment. When a customer asks “is my car ready?” through the portal at 9pm, the AI answers from the same data the voice receptionist uses. When they reply “yes go ahead” to a quote, Torqueflow logs the approval. You see all of it in a unified inbox in the morning.

02 — AI invoice scanning
Stop typing supplier invoices in.
Forward an email, drop a PDF, snap a photo – the AI extracts the supplier, the document number, and every line. You review on a side-by-side screen and confirm. Suppliers and parts that aren’t in your records can be created from the same screen.
This is something the legacy systems literally do not have.

03 — Real Xero integration
Live sync. No CSVs. No end-of-month reconciliation marathon.
Most garage software treats Xero as an afterthought – a CSV export your accountant has to wrangle. Torqueflow connects to Xero directly. Sales invoices, purchase invoices, and customer payments sync live. Voids and refunds carry across automatically.
The accountant alert and bookkeeper digest mean your finance team is never blind. No CSVs, no end-of-month reconciliation marathons.

04 — Online payments that actually work
Stripe Pay Now on every invoice. TakePayments at the counter.
Stripe Pay Now on every invoice. Statement links that pay multiple invoices in one go. TakePayments card terminals for in-person payments.
Payments land back in Torqueflow against the right invoice automatically – or in Xero, if that’s where the customer paid.

05 — Built for UK garages
Not American software with a Union Jack on the settings page.
DVLA vehicle lookups are built in – pull MOT history and vehicle details straight into a job. VAT is handled properly at every level, not approximated and adjusted later. Phone numbers are UK numbers. Date formats are UK formats. MOT testing labour can be zero-rated with a single setting.

06 — English and Polski
Two languages out of the box. Per user, per customer.
The UK auto trade has a lot of Polish-speaking owners and mechanics. Torqueflow ships in English and Polski out of the box. Each staff member picks their own language; customers using the portal automatically get Polish if their browser is set to Polish.
Statutory terms (MOT, DVLA, VAT, HMRC) stay in English where they should.

07 — Customer data stays clean
Built-in dedup. One-screen merge. 30-second undo on delete.
Garage records get duplicated by every system that ever touches them. Torqueflow has built-in duplicate detection, a one-screen merge tool, and a safeguarded delete flow with 30-second undo.
Your customer database stays usable instead of becoming a graveyard.

08 — White-label as standard
Your customers interact with your brand, not ours.
The portal carries your logo, your colours, your domain name. Messages come from your garage name. Invoices are branded yours. Dual-copy PDFs (one customer copy, one office copy) when you need them.
Torqueflow stays invisible to the people who matter most – your customers.

Modern software, not legacy with a new skin
Built from scratch. Not upgraded, not reskinned, not acquired and rebranded.
Every screen, every workflow, every integration was designed for how independent garages operate today.
That means fast, clean interfaces that work on a tablet in the workshop. It means scheduling that handles the messiness of real garage work. It means a customer portal that looks professional because your reputation depends on it.
What actually changes
Three things stop being your job. That’s the difference.
The shift isn’t cosmetic. It’s about which interruptions reach you – and which the software handles before you even know they happened.
Answering every call
Voice AI takes inbound calls, reads the live diary, and books the slot – out of hours, on your busiest day, every day.
of calls handled without ringing through to the workshop

Chasing approvals
Quotes go out on WhatsApp. Customers approve, decline, or ask a question – two taps. No voicemail tag.
median time from quote sent to quote approved
Mid-job interruptions
Status updates fire automatically when the job moves. Customers stop ringing because they already know.

Built for garages like yours
One to five locations. Owner-mechanics. Small teams that wear every hat.
If you’ve ever thought “I need to work on the business, not just in it” but can’t see when you’d find the time -that’s exactly the problem Torqueflow solves.
Torqueflow is built for independent garages with one to five locations. Owner-mechanics who do the work and run the business. Small teams where everyone wears multiple hats and nobody has time for software that creates more admin than it removes.
It takes the customer communication, the scheduling juggle, and the status update calls off your plate so you can focus on the work and the growth.
You don’t need an IT department. You don’t need a training week. You need software that handles the stuff you shouldn’t be doing manually, and stays out of your way for everything else.
