Multi-location garages

One account. Every site. One dashboard.

Run more than one workshop and most software forces you into one of two bad choices.

Either you cram everything into a single account and lose track of which job belongs to which site, or you set up parallel accounts and deal with separate billing, separate logins, and separate team management for each.

Torqueflow handles multiple locations natively. Each site has its own bays, its own scheduler, its own technicians, its own kiosk – while you, the owner, get a unified dashboard that rolls everything up. One subscription. One team management screen. One place to look when something needs your attention.

Who this is for

Most of your customers will only ever see it on a phone.

The portal is built mobile-first because that’s where customers use it – sitting at the dentist, waiting for the bus, on the sofa at 9pm.

Garage groups

running 2-10 sites under common ownership.

Franchise owners

with multiple branches under the same brand.

Owners growing into a second site

and needing software that scales without a re-platform.

Mobile and van-based operations

a van schedules as its own bay today, with coverage-area booking in development.

If you’re a single-location garage, the multi-location features simply don’t get in your way – the locations card just shows your one site. You don’t pay for capability you’re not using.

How locations work

Per-site bays, scheduler, technicians – without the parallel-account mess.

Each site is a card

The Locations & Bays page is one card per site.

The Settings → Locations & Bays page shows one card per location. Each card has:

  • The location name and address.
  • The bays at that site, with drag-and-drop reordering.
  • An Add bays button that opens a count picker for that location.
  • Per-location settings (working hours, default bay technician, etc.).

You add a new location with the Add Location button at the top.

Each site has its own scheduler

Per-location view, or roll up to “All”.

The bay scheduler can be viewed per location or rolled up across all locations. Most days, your front desk works in their own location’s view. When you, the owner, want to see the picture across all sites, switch the location filter to “All”.

Each site has its own technicians and bays

Bays are scoped to their site. Technicians have a primary – but can cross.

Technicians are assigned to a primary location but can work across sites if your business runs that way. Bays are scoped to their location – a Birmingham bay won’t show up in the Cardiff scheduler.

Vans and mobile mechanics

A mobile van is a bay as far as Torqueflow is concerned.

Give it a column in the diary and schedule jobs into it like any ramp, whether it works out of one site or roams between them.

And there’s more coming for mobile work. We’re building booking that understands coverage areas, so a customer booking a mobile visit only sees slots where your van actually goes. It’s in development now; we’ll announce when it’s live.

Pricing across locations

£249 per month. One Stripe subscription.

One subscription covers the whole operation. £249 a month plus VAT, whether you run one site or ten. Open a third site and the price does not move.

One Stripe subscription, one invoice per cycle, one set of payment details. Not three separate subscriptions to track.

The 20-bay cap is per location – a UI constraint to keep the scheduler readable. Your group can have far more than 20 bays in total across multiple sites.

Cross-location reports

Roll up the whole group. Drill into one site.

Reports default to “all locations” but can be filtered to a single site. So you can answer:

  • “How did Birmingham do this month?”
  • “Which location is most profitable per bay?”
  • “Where are most of my outstanding debtors?”
  • “Which technician across the whole group is generating the most labour revenue?”

The Outstanding Debtors and VAT Summary reports roll up automatically. CSV exports include a location column where relevant.

Per-location branding

Each location can carry its own customer-facing identity.

Each location can carry its own customer-facing identity: subdomain, logo, phone number, email-from address. Useful for franchise groups where each branch has built up its own local reputation, or for groups using different trading names for different markets.

The customer portal, invoice PDFs, quote PDFs, and AI receptionist all respect the location they’re tied to. A Birmingham invoice shows the Birmingham logo and bank details; a Cardiff invoice shows Cardiff’s.

How Voice AI handles multiple sites

A separate persona, phone number, and data scope per branch.

Each location can have its own Voice AI persona name, voice, and dedicated UK phone number. Customers calling the Birmingham branch hear “Sarah“, customers calling the Cardiff branch hear “Sian” – or whatever you configure. Each persona reads from the right location’s data, offers times from the right location’s scheduler, and escalates to the right location’s team.

How customer records work across sites

A customer record exists at the organisation level.

A customer who visits Birmingham one week and Cardiff the next still has a single record with their full vehicle and service history. The portal shows them everything. The AI recognises them at any site they call.

This avoids the classic multi-location pain: customer rings Cardiff to ask about a job done in Birmingham last month and the receptionist can’t see anything because the records are siloed.

What lives where

What stays per-location. What stays per-organisation.

Per-location

Scoped to each site

  • Bays, scheduler, technicians
  • Workshop hours
  • Voice AI persona and phone number
  • Customer-portal subdomain

Per-organisation

One source of truth

  • Customer records – a single customer across all sites
  • Vehicle records
  • Pricing settings – parts markup, labour rates, nominal codes
  • Xero connection
  • Stripe billing
  • User accounts and roles

Frequently asked

The questions garages ask before they switch.

Disposal fees can be configured per location (e.g. “Tyre disposal – Birmingham (20%)” alongside “Tyre disposal – Cardiff (0%)”). Whether the org-default VAT rate or labour rate VAT can also vary per location is something to confirm in product.

Yes. A technician has a primary location but can be assigned to work orders at other sites. Their commission and time-tracking still attribute to them as an individual, not a location.

A single customer sees all their work orders and invoices from any of your sites in one portal. They don’t need to know which location did which job – it’s all just “their car at your garage”. Invoices carry the issuing location’s branding.

No. One Stripe Connect account at the organisation level handles online payments for all sites. Each invoice carries the location’s bank details and branding, but the underlying merchant account is one.

Not in the current version. One Xero organisation per Torqueflow account. Multi-entity (separate Xero orgs per site) is on the roadmap.

Delete the location’s bays first (which auto-decreases your subscription), then archive the location itself. Historical work orders, invoices, and customer records stay queryable for HMRC retention.

No. Multi-location is included in every subscription. One subscription covers every site you run, at the same £249 a month. There are no
tiers and no per-site charges.
